At Scout & Spruce, we don’t just "file paperwork." We are a high-octane administrative powerhouse managing upwards of 100 deals at any given time for over 10 different agents. Currently, we are looking to fill a crucial gap in our schedule: Nights and Weekends.
Real estate doesn't sleep, and neither do our deals. We are looking for a Transaction Coordinator with lightning-fast response times who thrives on tight deadlines and executes with flawless precision when the after-hours pressure is on.
If you’re a self-starter who looks at a system and thinks, "I can make this faster," we want to talk to you.
The Role: What You’ll Be Doing
This isn't a "sit back and wait for instructions" kind of gig. You will be the after-hours engine room of our transactions, ensuring that every deal moves from contract to close without a hitch.
Contract Mastery on Demand: Drafting, reviewing, and managing both Purchase and Listing contracts with rapid turnaround times. You should know your way around a contract well enough to write out custom clauses with precision, often on a tight evening or weekend deadline.
Deadline Hawk: We use automated calendar systems for efficiency, but you are the final fail-safe. You’ll ensure every date is met, every "i" is dotted, and every "t" is crossed, keeping files strictly on track.
Agent Liaison: You’ll be the point of contact for 10+ agents, providing them with the peace of mind that their deals are in expert hands, even after the sun goes down.
Tech-Forward Admin: You’ll be working within various trusted broker back-end systems and Webforms.
System Evolution: We want your brain, not just your hands. We need someone who will actively help us refine and improve our internal processes.
The Requirements: Who You Are
You must be comfortable with Alberta Real Estate Paperwork, and have a history of Transaction Coordination. This is not a beginner role.
Available When It Counts: While there is room for daytime work, your primary schedule will heavily feature nights and weekends. You are the person who answers the phone and drafts the offer when a deal is on the line on a Saturday afternoon.
Lightning Fast: You pride yourself on your response times. You know that in real estate, speed wins.
Experienced: You have a proven track record handling purchase and listing contracts. You know the flow of a real estate deal like the back of your hand.
Proactive & Resilient: We are BUSY. You don’t wait for problems to arise; you anticipate them. You need to be comfortable in a fast-paced environment where the volume is high and the expectations are higher.
Meticulous: You have a near-obsessive attention to detail. Errors aren't just annoying to you—they’re a personal challenge.
